The Outlook OLM Merge tool gives 3 unique alternatives to merge OLM files, which are Join, Merge Contacts, and Merge. Join option permits a user to join OLM files by creating a new OLM folder. By using Merge option, users can combine their multiple OLM files into a single file. Merge Contact option permits the user to join the contacts of OLM files into a single Mac Outlook data file. So, the three choices are:
The Merge OLM Files tool equips the user to merge the same kind of folders from two or more Mac OLM files. The data items like inbox, calendars, contacts, sent items, drafts, notes, tasks, to-do list, journals, etc., can be merged from different OLM files into one OLM file.
The OLM joiner application permits a user to join OLM files by the creation of the new folder for the consolidated OLM file. This alternative can be selected when a user wants to join all OLM files under the same Mac Outlook OLM file and the data of each .olm file will be integrated folder-wise.
Only Outlook contacts folders can be combined in an OLM file from multiple Mac Outlook OLM files. The software will create a single OLM file consisting of all the contacts joined in a single Mac Outlook file. The metadata properties like the name of contacts, email addresses, etc., are maintained.
The OLM merger tool allows the user to join multiple OLM files and remove the duplicate entries at the same time. This can be achieved by clicking on the checkbox remove duplicates. Similarly, the option can be disabled by deselecting the same checkbox.
While a user is merging multiple Outlook OLM files, the deleted items can be excluded from combining into the resultant OLM file. All a user needs to do is select the checkbox of exclude deleted item folder. This will remove irrelevant data and minimize the consumption of time.
If a user wants to combine more than 2 OLM files, he/she does not need to add the files one after another. An option of Add folder is exhibited by the software. By choosing this option, all the desired OLM files will be browsed at once. If a single OLM file is to be added, click on Add file option.
As the merging of OLM files begins, the status of the process will be shown. Once the process to join OLM files completes, a report will be generated showing the number of OLM files, the total item count, duplicate items found, and the merging status. It will also show the name of the resultant OLM file.

Is this important that Outlook is open or closed while executing merging process?
No. It has nothing to do with the procedure of merging OLM files. The only thing to take care is the resultant OLM file should not be in use when merging process will be going on.
How many OLM files can I combine at a time?
There are no restrictions on the number of OLM files that are to be merged. A user can select an option of Add Folder to combine multiple OLM files. To add a single OLM file, click on Add file.
