Google offers you different services for different purposes. To create schedules and manage them, Google Calendar is used, and to create, edit, and collaborate on documents, Google Docs is used. Both are different, but you can add Google Calendar to Google Docs. In this blog, I am going to explain how you can link your Google Calendar event or add calendar information in Google Docs.

You cannot directly embed your live Google Calendar events in your Google Docs. However, you can link your calendar or add the event details. Users can manually add their calendars in Google Docs, but the changes will not be updated. There are multiple indirect ways that you can use. I will explain each method one by one.

How to Connect Google Calendar to Google Docs? Manually

To connect your calendar or event in Google Docs, there are different ways:

  • You can use the @ menu to directly pull your event data into documents.
  • You can insert the calendar link as a smart chip for a reference to a specific meeting or event.
  • Attach the Google document in Google Calendar.
  • Use split screen to add the details of events manually in Google Docs.

Pull Calendar Data in Google Docs by @ Menu

It is the quickest way to get your calendar details directly in your document.

  1. Open the Google Doc that you want to add the event information to.
  2. Type @ hotkeys where you want to add the calendar data.
  3. Go to the building blocks section and select Meeting notes.
  4. You will see a list of your calendar events. Click the event that you want to add.
  5. It will instantly insert the details and create a placeholder for notes.
  6. If you see a prompt asking you to attach this document. Then, click Attach to link them.

Use Smart Chip to Insert Calendar Link in Google Doc

To add a specific meeting or event as a reference without fully adding the complete notes. Insert the smart chip. Here’s how you can do it.

  1. In your Google Docs, type @, then the name or date of your calendar event.
  2. Find the Calendar icon in the Files, people, and events dropdown. Select your event.
  3. When your event turns into a gray chip. Hover your mouse over it. All your event details, time, and attendee status will show.

Attach Google Doc in Google Calendar

Instead of linking your Google Calendar in Google Docs. Users can attach their existing documents already scheduling meetings. You can directly attach it like an agenda or brief.

  1. Open Google Calendar and click the Event button.
  2. Press the Edit event icon (pencil). In the event description box, use the formatting toolbar.
  3. Click the Attachment icon (paperclip).
  4. In the My Drive or Shared with me tab, choose your Google Doc and press Select.
  5. Save this event. Now, everyone who is invited will also access your Google Doc from their calendar.

Manually Add Calendar Details for Split Screen View

If you need to add your calendar event information while viewing the calendar. Open it side by side.

In the Google Doc, open your document.
In the far-right corner, see your narrow toolbar.
Click the Google Calendar icon. Now, you will see a mini version of the calendar open in the side panel.
Drag and drop the details or check your availability while typing.

You can add your Google Calendar URL in Google Docs. Here’s how you can insert it.

  1. First, go to Google Calendar and open the calendar event you want to share.
  2. Select the Options menu (three vertical dots menu). Click the Publish event button.
  3. Copy your calendar URL. Go to the Google Doc and paste the link.
  4. Press the Space or Enter key. The Google Doc will automatically ask to replace the URL with an event chip.
  5. Press Tab or click Suggestion.

Make Google Calendar Event Accessible from Google Doc

The above methods allow users to access the meeting or event within the Google Doc, but you also need to share your event permission so they can actually open and view the details. Here is how you can access the permission.

  1. In Google Calendar, find the event that you want to share.
  2. Click your event to open it. Click More options.
  3. Select your guest permission. Then, copy the link.
  4. Paste the link in your Google Doc.

If you are also sharing your documents with others, make sure the documents have appropriate permissions.

If you want to connect Google Calendar to the team sharing document. Then the methods are different. Here are the various manual ways.

Collaborate on Event in Google Docs

Attach your Google Calendar and Google Doc, and your entire team can collaborate on the event title, guest list, and agenda before it goes live on the calendar.

  1. Open your shared Google Doc and type @calendar event draft. Press the Enter button.
  2. You will get a structured block with fields like Attendees, Date & Time, Location, and Description.
  3. Tag your team members in the Attendees field and enter the description.
  4. After that, click the blue Calendar icon on the left side of the draft.
  5. This will open a sidebar that will allow you to preview the event. Then, click the Create event button to publish it to the calendar for everyone.

Streamline Meeting Notes

Link your document directly to an existing calendar slot so every invite can see the meeting notes.

  1. When you are creating a meeting, open your shared Google Doc.
  2. Type @meeting notes and hit the Enter key.
  3. Choose your current or upcoming meeting.
  4. Google Docs will pull your meeting title, date, and attendee list automatically.
  5. Attach your document in Calendar. Once the calendar event and document are linked. Use the interactive feature to assign tasks.

Issues in Connecting Google Calendar to Google Docs

@ Menu and Smart Chips are Failing to Load

This is a common problem when a user types @ in their Google Docs. They can’t pull up the meeting notes/calendar chips, or the drop-down menu is stuck loading.

The reason behind that is a browser cache conflict, third-party extension interference, or sync delay between Google servers and Docs. So, clear your browser cache or temporarily disable extensions.

Permissions are Broken or Access Denied in Linked Events

You insert your calendar into a shared team document. But your team member gets an error that they don’t have permission to view the event details.

Google Calendar has strict privacy default settings that block external or non-invited view to see the events. Make sure you check the permissions of your event and invite the member again.

Block Cross-Domain and Multi-Account Isolation

Organization: when needed, insert the client’s calendar in their Google Docs or vice versa. Due to security isolation, you couldn’t embed or link the external calendar events in their own Google Docs.
