#1 Google Vault Retention

How can we retain all the deleted data from Google Drive,Gmail, Groups, Hangouts, etc.? Here is how you can set up the retention rule and preserve all Google data with Vault, given that you are the administrator.

  • Step 2. Now click on Retention option in the left panel.

  • Step 3. Go to default retention rule and choose a product.
  • Step 4. Mark check to Set a default retention rule checkbox.

  • Step 5. Now you get to choose how long you want to keep your data (files), I have selected 3000 days >> click on Save.

Note: You get to choose Indefinitely option to permanently retain your data. Also, you can set the retention days limit from 0 to 36,500 days.

  • Step 6. After this, you have 2 options:
  1. Select the first one to expunge only the data users have already removed.
  2. Select the 2nd option to expunge all the data. (The messages and files residing in users’ inboxes and Google Drives, also including data that has already been removed.)

Now that you have set up the retention rules for your G Suite account, you’re good to go!

Google Vault contains an advanced search module through which you can search your previously stored Gmail messages, Google drive files, Hangout conversations etc.

#3 Google Vault Export

  • Google vault is purely web based, so you can’t have the offline access to any data, unlike the local backup copy where you can easily access data even without internet.
  • In the case of service outages, without a backup you can do nothing with Google Vault!
  • Google Vault is limited to only Gmail and Google Drive. It can not restore the contacts and calendar data.
  • Google Vault only retains the data of suspended accounts and not the deleted accounts data.
