To password-protect a SharePoint file, you can use:

  • SharePoint sharing link settings
  • Microsoft Word or Excel encryption
  • PDF password protection
  • Password-protected ZIP archive

Each method offers a different level of protection depending on the file type and restriction requirement. Here, I’ll explain four methods to password-protect a SharePoint file with step-by-step instructions.

Why Do You Need to Password Protect a SharePoint File?

If you are looking for ways to password-protect a SharePoint file, you likely already know the importance of securing data. However, to give you a quick overview, here are some common reasons why users password-protect their SharePoint files:

  • Protect confidential information from unauthorized access.
  • Add password protection to the files when sharing with external users or clients.
  • Add a separate security layer to sensitive Word, Excel, or PDF files.
  • Require a password to open supported file formats, even after downloading them from SharePoint.

Overall, password-protecting a SharePoint file is necessary to safeguard against unauthorized access or cyberattackers.

How to Password Protect a SharePoint File?

There are several ways to password-protect a SharePoint file, depending on file type (Word, Excel, or PDF) or restriction requirements. Below are four methods you can follow to password-protect your SharePoint files:

To password-protect a SharePoint file using sharing link settings, create an Anyone link and enable the Set password option. This method requires recipients to enter a password before accessing the file through the shared link.

Follow these steps to password-protect a SharePoint sharing link:

  1. Sign in to your SharePoint Online account.
  2. Open the document library.
  3. Select the file and click Share.
  4. Open the sharing link settings.
  5. Select Anyone if the option is available.
  6. Enable Set password and enter a strong password.
  7. Set an expiration date for the link, if required.
  8. Click Apply and then select Copy link.
  9. Share the link with the recipients and send the password separately.

Once configured, recipients must enter the password to access the file through that link. This is not a permanent password-protected file method; instead, it restricts access through the specific sharing link.

Method 2. Password Protect a SharePoint Word or Excel File

To password-protect a SharePoint Word document or Excel workbook, use the Encrypt with Password feature in Microsoft Office. For this:

  1. Open the SharePoint document library and download the Word file.
  2. Open the file in the Microsoft Word desktop application.
  3. Click File and select Info.
  4. Click Protect Document and choose Encrypt with Password.
  5. Enter a strong password and click OK.
  6. Re-enter the password to confirm it.
  7. Save the protected document.
  8. Upload the password-protected file to SharePoint.

Now, here are the steps to password-protect an Excel workbook:

  1. Download the Excel workbook from SharePoint.
  2. Open it in the Microsoft Excel desktop application.
  3. Click File and select Info.
  4. Choose Protect Workbook and click Encrypt with Password.
  5. Enter a strong password and click OK.
  6. Confirm the password when prompted.
  7. Save the protected workbook.
  8. Upload the encrypted file to the SharePoint document library.

You can use this Microsoft Office encryption when you need to password-protect a Word document or Excel workbook at the file level.

Method 3. Password Protect a SharePoint PDF File

To password-protect a SharePoint PDF file, use a PDF editor that supports password-based encryption. To do so:

  1. Open the SharePoint document library and download the required PDF file.
  2. Open the PDF in an editor that supports password encryption.
  3. Navigate to the Protect, Security, or Encrypt option.
  4. Select the option to require a password to open the document.
  5. Enter a strong password and confirm it.
  6. Save the password-protected PDF as a new file.
  7. Reopen the saved PDF to verify that it requires a password.
  8. Upload the protected PDF to SharePoint.

Use PDF password protection when you need to secure confidential PDF documents stored in SharePoint.

Method 4. Password Protect a SharePoint File Using a ZIP Archive

To password-protect a SharePoint file using a ZIP archive, download the file and encrypt it with an archive utility such as 7-Zip that supports password protection.

Follow these steps to create a password-protected ZIP archive of a SharePoint file:

  1. Sign in to SharePoint Online and open the document library.
  2. Select the required file and download it to your computer.
  3. Open a ZIP utility that supports encrypted archives.
  4. Select the downloaded file and choose the option to create an archive.
  5. Select the ZIP format and open the encryption settings.
  6. Enter a strong password and choose a supported encryption method, preferably AES-256 if available.
  7. Create the password-protected ZIP archive.
  8. Upload the protected ZIP file to SharePoint if you want to store a secured copy.

Backup Your SharePoint Files for an Extra Layer of Protection

Password protection secures access to SharePoint files, but a separate backup helps protect against accidental deletion or unexpected data loss. To keep an additional copy of your SharePoint documents, you can use the SysTools SharePoint Backup Tool to download SharePoint Online data to your local system for offline storage.

The tool helps you maintain a separate copy of important SharePoint files and documents. This is necessary because files can be hacked by cyberattackers, and if you have a local backup, you can access them without opening SharePoint.

Best Practices For Password-Protecting SharePoint Files

I made this checklist, based on my experience, for securing SharePoint documents:

  • Choose a unique password that is difficult to guess.
  • Avoid sending the password in the same message as the protected file or link.
  • Review SharePoint permissions before sharing any file with external users or clients.
  • Keep a secure copy of passwords because losing the password to an encrypted document will prevent you from accessing its contents.
  • Always verify the password protection is working before sharing with any external users.
  • Always keep a backup of the complete SharePoint document library, so you can recover it if the protected version is lost or corrupted.
