  3. Provide the email address of the person that you want to send it to.
  4. Copy the link to share with others.

  1. Enable the Editor option when you select Anyone with link. Then, share the file in your group.
  2. When someone is working with your documents, you will see a user icon at the top.
  3. Then, members can simply type or edit the file. All the changes will automatically be saved and appear to everyone.
  4. The version history allows you to see what changes they provided.

Comments & @ Mentions

Instead of using another app to message for discussion, you can do this directly to the file.

  1. First, choose the specific text, phrase, or paragraph and highlight it.
  2. Select the Add Comment option and enter your message.
  3. If you want to make a task or question for a specific person, type @ and provide the name or email address.
  4. Use the “Assign to” checkbox for the person to mark the item when they complete the task.
  5. By clicking Comment or Assign, the recipient will receive an email notification and can reply directly.

Use Suggesting Mode

This feature allows you to propose changes in the document without altering it immediately.

  1. In your Google Doc, find the pencil icon in the toolbar (this is called the mode selector).
  2. Switch from Editing to Suggesting.
  3. Then, make the changes; any text you delete will be crossed out. Any added text will be highlighted in a distinct color.
  4. The person can see the suggestions on the right side of the document. You can either accept it or reject it.

For project management, sharing individual files is helpful, but a shared folder is the best option. This folder allows your team to put all the needed files in one folder with permissions, and members can use them without sharing the individual documents one by one. To set up the shared folder, below are the steps.

  1. Create a folder in Google Drive by clicking the New button and then New folder. Provide a name.
  2. Right-click the folder and choose the Share button.
  3. Provide the email addresses of your team members.
  4. Choose the required access level. Then, click Send.
