How to Use SysTools ICS Converter: Step-by-Step Guide

Convert ICS File to PDF, PST, TXT, HTML, MSG, and CSV file format on Windows.

STEP 1

To start, first Download and Launch the SysTools ICS Converter on your Windows.

Next, you can add the ICS file by clicking on the Add File button.

Now, you have 2 options to select File or Folder.

Next, choose File option and click on the 3 dots to set the Destination.

Select the desired file you want to convert and click on the Open button.

Next, click on the Add button.

Now, wait until the selected file is being Scanned.

Once the scanning is completed, click on OK.

Then, click on the Export button.

Select required file and then click on the PST from the Export Type option. Then, Go to Advance Settings to split the PST File after a certain Size Limit.

Now, check the PST split option and select the Size range and click Save.

Once the file setting has been saved click on the "OK" button.

Now, Click on the Browse option to select the Folder where you want to save the converted file.

After, choosing the folder, click OK button.

Check the individual options, if you want to Maintain Folder Hierarchy and Ignore System Folders respectively.

Click on Export button to start the ICS to PST conversion process.

Wait till the Exporting process is completed.

Once the conversion is done. Click on OK to see the export Report.

If you want to Save the Export Report click on Save button, if not then tap Cancel option.

Now you can see the exported PST file in your saved Location.

If you want to convert ICS files to PDF format then select PDF from Export options and click on Advance Settings.

Now view the following filters such as:

General Settings:

Naming Convention: This refers to the naming of the final converted files such as by Subject and Special Characters.

Page Layout

Margin: User can set PDF page Top margin, Bottom margin,, Left margin, Right margin (min 2.0, max 10.0mm).

Paper Layout: Here you can set Paper Orientation: Portrait or Landscape. Also set Page size as A4, A3 or Letter.

Header Text: Adds custom text at the top of every exported ICS file.

Footer Text: Adds custom text at the bottom of every exported ICS file.

Font Size: Sets the text size used in the ICS file output.

Font Color: Chooses the color of the text inside the ICS file.

Font: Selects the font style to apply to the exported ICS content.

Apply Advance Setting for Attachments:

Attachment on Pin: It enables the option to add attachments in PDF a pin.

Append Attachment: It will convert attachments as PDF pages and append at the end of email.

Save Attachment: Apply this feature to save attachments in a folder in its original file format.In this feature you can apply the Naming Convention feature also.

Bates Number

Bates Number Format: Set "Start Number" "Increment By" and "Position".

Date Stamp: Set "Position" and "Format" according to the needs.

Click on the "ok" button to when the settings are saved.

Tap on Browse button to select the file Destination.

Click OK and you will see the Selected Path.

You can select these options as per your need before exporting.

  • Maintain Folder Hierarchy: Keeps the original mailbox folder structure when exporting ICS files.
  • Don’t Export Empty Folder: Skips folders that contain no items during export.
  • Ignore System Folders: Excludes default system folders (Inbox, Sent, Junk, etc.) from the export.
  • Create Single PDF for Each File: Creates one separate PDF for every item instead of combining them.

Click on the "Export" option to start the conversion process.

After successful conversion, you will receive "Export Process Completed Successfully" message.

Click OK button after the exporting completion.

Hit theSave button if you want to save the export report which telles the succes counts and fail counts.

Finally, you can view your exported PDF file in the saved location.

Now, Select MSG option to export ICS files to MSG format and browse to Advance Settings button.

Naming Convention: Refers to the naming of the final converted files by Subject and Special Characters.

Click on the "Ok" button after the settings are saved.

Before exporting, you can also check these options according to your preference:

Now, you can finally click on the Export button to start the conversion.

Now, you can view your resulted MSG file in the location saved.

If you want to convert ICS files to HTML file format then select the radio button corresponding to HTML label. And, go to Advance Settings option.

Now, click on the export button to start the conversion process.

If you want to convert ICS files in CSV file format then choose the CSV option from the export list and Navigate to Browse option.

If you want to print ICS files then select the "Print" radio button and click on the "Advanced Settings" button.

In the Advanced settings you can specify the settings for Print, the software gives 3 different tabs for arranging your file efficiently.

Page Layout: Allows you to adjust how your converted ICS data will appear.

1. Margin Settings (min 2.0 mm, max 10.0 mm)

  • Top Margin: Adjusts the empty space at the top of the page.
  • Bottom Margin: Sets the space at the bottom of the page.
  • Left Margin: Controls the gap on the left side of the page.
  • Right Margin: Controls the right-side spacing.

2. Paper Layout

  • Paper Orientation:
    • Landscape: Page is wider horizontally.
    • Portrait: Page is taller vertically (default).

  • Page Size:
    • Lets you select the desired paper size (e.g., A4, Letter).
    • Helps ensure proper formatting when exporting or printing.

3. Header and Footer

  • Header Text: Allows adding custom text at the top of every exported page (e.g., “Company Calendar”, “Event Schedule”).
  • Footer Text: Lets you add text at the bottom of each page (e.g., page numbers, date of export).

4. Font Family

    • Font Size:
      • Set the size of the text in the generated file (default 11).
      • Can be increased or decreased depending on readability needs.
    • Font Color:
      • Allows choosing a color for the text used in exported output.
    • Font:
      • Helps select the font style (e.g., Arial, Times New Roman).
      • Controls the overall look of the final document.

Attachments Settings:
  • Attachment On Pin
    • Adds all attachments inside the PDF as clickable pins or icons.

  • Append Attachment
    • Appends the converted pages at the end of the exported PDF.

Bates Number: Used mainly in legal, auditing, or documentation workflows to uniquely label each page of an exported file.

  • Prefix
