Steps to Import MBOX Data File to Office 365 Archive

Follow Step by Step working of the Tool.

Pre-Requisites (General)

  • Create Console Project in Office 365. Read more...
  • Microsoft .NET Framework 4.8.0 or above
  • Microsoft Visual C++ Redistributable Latest (Visual Studio 2015, 2017, 2019, and 2022) Should Be Installed. Download

Following are the Steps to Perform MS 365 Archive Import

STEP 1

Download, install, and launch the SysTools Import Tool. If the tool is not activated, refer to the activation guide: Activation Steps

The Help panel in the tool provides information about the application workflow, including Prerequisite, Setup, Source, Destination, Users, Import, Settings, and Activate.

STEP 2

Select MBOX as the source and MS 365 Archive as the destination platform.

STEP 3

Under Workload selection, check the Email checkbox to allow email import. You can also enable the Date Filter option if you wish to import items for a specific date range.

Once all the settings are done in the workload section, click on the Next button to continue.

Click Next Button

You will now come to the Source screen to select the folder path where the Emails are stored.

You have to put these files in their respective folders (created with the names of the target G Suite email IDs) as described below:

Create a folder in the root drive, like:

Go to the drive where you have stored your data.

Within the drive, make a folder named mbox.

Each user should have their own separate folder.

Inside each user's folder would be the "MBOX" files.

In the end, the folder structure should resemble the following:

And then select the folder "E:/mbox/" into our tool as "Import Folder Path".

STEP 5

Under the Source tab, select the Import folder path containing the mbox files. Enter the Import folder path and click Validate to verify the required permissions.

Once validation is complete, verify that the required Read file system and Read Email permissions are granted. Click Next to continue.

STEP 6

Under the Destination tab, enter the Admin Email and Application ID.

Click Validate to verify the account permissions.

Once validation is successful (indicated by green checkmarks), click Next.

STEP 7

Under the Users tab, specify the users to be processed for the import.

If you wish to fetch users directly, click on Fetch Users and click on Continue to fetch users from the configured source account.

To import users using a CSV file, click on the Import Users option, then select the User list csv file option and upload the prepared CSV file.

If you wish to download the csv template for user mapping, click on the Download Template button and provide a destination path for saving the downloaded file.

STEP 8

Once the users are fetched successfully, the application displays the number of users fetched and confirms that processing is complete.

Click OK to continue.

The fetched users are displayed under the Users tab. Select the required users and enter the corresponding Destination Email addresses

STEP 9

Use the filter to view All Users, users with Permission Failed, or users with Permission Succeed.

Click Validate to verify the selected users.

Once validation is complete, the application displays the number of validated users and confirms that processing is completed. Verify that the required Destination Permission is granted

STEP 10

Click Start Import to begin the import process.

Review the available license count and click Start to begin the import.

Once the import starts successfully, click OK to close the confirmation message.

STEP 11

View the import status under the In Progress tab. Monitor the import progress.

STEP 12

Click the Refresh icon to update the import status and view the current email count.

Once the import is completed, view the results under the Completed tab.

STEP 13

Click Download Report to view the available report options.

Select Import Summary Report or Detailed Report to download the required report.

Choose the location where you want to save the report and click Save.

If you wish to download the detailed report, click on the Detailed Report option. Select the required users for which you wish to get the report and then click on the Download button to start generating the report(s).

Once the report generation has been completed, a confirmation dialog box will appear. Click on the Download button to download the generated report.

Provide a destination path for saving the report.

STEP 14

Click Re-Run Import to view the available options.

Select Retry Failed Items, Re-Run Full Import, or Delta Import as required.

The Retry Failed Items window displays the users whose items could not be imported.

Select the required users and click Start to retry the import.

In the Re-Run Full Import window, select the required users and click Start to re-run the complete import.

In the Delta Import window, select the required users and click Start to import only the newly added data.

STEP 15

(Optional) Adjust Settings:

Navigate to the Settings tab.

Under General, you can adjust the Concurrent user slider to set the number of users processed simultaneously per account (e.g., to 10). Once you are done with the settings, click Save.
