Follow this step-by-step guide to backup and restore data using the SysTools Mac In-Place Archive Office 365 Backup & Restore tool.
Pre-Requisites:
Pre-requisites for Office 365 Admin Account (Archive Access):
Launch the application. Choose the Admin User mode for multi-user operations.
Read the warning that the mode cannot be changed later and acknowledge it.
Tick the confirmation checkbox and click Continue.
To access help documentation for the backup process, click the 'Help' icon (question mark) in the lower section of the left-hand menu.
Ensure the 'Backup' tab is selected. Choose 'MS 365 Archive' as the 'Source' platform and 'Outlook' as the 'Destination'.
In the 'Workload selection', check the box for 'Email' to enable archive email backup (Note: M365 Archive backup typically only supports Email).
To apply a date filter for the archive email backup, check the 'Date Filter' box. Click the calendar icons to select the desired 'From Date' and 'To Date'.
After configuring the workload and optional date filter, click the 'Next' button in the bottom right corner.
Navigate to the Source configuration screen for MS 365 Archive. Enter the 'Admin Email' address and the 'Application ID' associated with your Azure app registration that has the necessary permissions for archive access.
After entering the Admin Email and Application ID for the MS 365 Archive source, click the 'Validate' button.
After validating the source credentials and reviewing the permissions (Read User, Read Email), click the 'Next' button.
Navigate to the Destination configuration step. Click the folder icon next to 'Backup folder path' to choose where to save the archive backup PST file(s).
In the file browser, navigate to and select the desired parent folder (e.g., 'M365 Archive Backup') where the backup PST should be saved, and click 'Open'.
Confirm the correct 'Backup folder path' is displayed. Click the 'Validate' button to verify the destination path and permissions.
Optionally, click the dropdown menu for 'File size (in GB)' to select the maximum size for individual backup PST files.
This value specifies a maximum size limit for each resultant PST file(s).
Examples:
Review the selected 'Backup folder path' and file size. Check the validated permissions on the right, then click the 'Next' button.
Choose how to specify the users whose archives you want to back up. Click 'Fetch Users', 'Import Users', or 'Download Template'.
Download Template: Save BackupUserMappingSample.csv.
Import Users: Browse for the user list CSV.
Click 'Upload' after selecting the CSV.
Click 'OK' on import completion.
Fetch Users: Click 'Continue' to confirm.
Click 'OK' on fetch completion.
Review the list of fetched or imported users.
Select user(s) via checkbox, click 'Validate'.
Click 'OK' on validation completion.
Click 'Start Backup'.
Confirm license, click 'Start'.
Click 'OK' on backup started message.
Monitor via Pending, In Progress, Completed tabs.

Use 'Re-Run Backup' dropdown.
Retry Failed Items: Confirm users, click Start.
Re-Run Full Backup: Confirm users, click Start.
Delta Backup: Confirm users, click Start.
Click 'Download Report' dropdown.
Summary Report: Save file.
Detailed Report: Select users, click Download.
Confirm generation, click Download.
Save ZIP file.
Locate downloaded report files.
View Summary CSV.
Extract Detailed ZIP.
View detailed CSVs inside folder.
To access help documentation related to the restore process, click the 'Help' icon (question mark) in the lower-left menu.
Ensure the 'Restore' tab is selected at the top. Set the 'Source' platform to 'Outlook' and the 'Destination' platform to 'MS 365 Archive'.
In the 'Workload selection' area, check the box for 'Email' to enable archive email restore. (Note: Restoring to MS 365 Archive typically only applies to Email).
To apply a date filter for the archive email restore, check the 'Date Filter' box. Click the calendar icons to select the desired 'From Date' and 'To Date'.
After configuring the workload and optional date filter, click the 'Next' button in the bottom right corner.
Navigate to the Source configuration step. Click the folder icon next to 'Restore folder path' to locate the backup folder containing the archive PST file(s).
In the file browser, navigate to and select the folder containing the archive backup data (e.g., 'M365 Archive Backup'), and click 'Open'.
Confirm the correct 'Restore folder path' is displayed. Click the 'Validate' button to verify the source path and permissions.
Review the validated permissions for the selected source folder path (Read file system, Read Email), then click the 'Next' button.
Navigate to the Destination configuration step for MS 365 Archive. Enter the 'Admin Email' address and the 'Application ID' for the Azure app registration with permissions to write to user archives.
After entering the Admin Email and Application ID for the MS 365 Archive destination, click the 'Validate' button.
Once the Destination credentials have been validated and permissions are shown (Read User, Write Email), click the 'Next' button.
Navigate to the Users step. Choose how to specify the users whose archives you want to restore data into: Click 'Fetch Users', 'Import Users', or 'Download Template'.
Download Template: Save UserMappingSample.csv.
Import Users: Browse for the mapping CSV.
Click 'Upload' after selecting the CSV.
Click 'OK' on import completion.
Fetch Users: Click 'Continue' to confirm.
Click 'OK' on fetch completion.
Review user list. Enter 'Destination Email' for each source user.
Select user(s), check mapping, click 'Validate'.
Review validated mapping.
Click 'OK' on validation completion.
Click 'Start Restore'.
Confirm license, click 'Start'.
Click 'OK' on restore started message.
Monitor via Pending, In Progress, Completed tabs.
