Google Tasks does not natively sync with Outlook. But there are some workarounds that can help you add Google Tasks to Outlook. In this, I am going to discuss all the manual and alternative ways to import your Google Tasks with clear steps.
For managing your tasks, Google Tasks and the Microsoft To Do tool are designed for you. Both are used to create a to-do list for tracking your project progress. Google Tasks is a simple and minimalist tool that is present in the Google Workspace, and Microsoft To Do is a more feature-rich product integrated with Microsoft 365.
Due to different ecosystems, it is difficult to directly move your Google Tasks data into Microsoft because of the lack of a built-in option. But, instead of this, the user can sync tasks via the calendar and other indirect methods. Which I have properly explained below.
Add Google Tasks to Outlook Using Google Calendar
This method is one way where you can export your Google Tasks at one time. If you are completely shifting from Google Workspace to Microsoft. This method can be used.
- Go to your Google Calendar and then Calendar Settings.
- Click on the Import & Export option, then the Export button.
- You will get a ZIP file, which you have to extract.
- In the Outlook application, click on the File button.
- Select the Open & Export and Import/Export option.
- Choose Import an iCalendar, then browse your extracted files.
- Click on the file and open it in Outlook.
This method will move your Google calendar, including the tasks that have set times. Also, it isa one-time method, which means if you add new tasks it will not appear in your Outlook.
Use iCal Subscription to Sync Google Tasks to Outlook
To view the added Google tasks in real-time in Outlook. Follow the steps below.
- In your Google Calendar, choose the calendar that you want to share.
- Go to Integrate Calendar and copy the Secret address in iCal format.
- Log in to the Outlook Web App. Click on the Add Calendar.
- Press the Subscribe from web and paste your URL.
- For the Outlook desktop version, press the File, then Account button.
- Choose Settings and Internet Calendars. Hit the New button and paste the link.
This method only allows you to view the tasks. But cannot edit or mark them as complete from Outlook.
Add Google Tasks to Outlook by GWSMO
If you want to migrate professional Google Tasks, then Google Workspace Sync for Microsoft Outlook is a great choice. Here, you must have a work or school account and install the tool from the official site.
- After properly installing the GWSMO tool, run the utility.
- Provide your Google Workspace email address. Then, press Continue.
- Properly sign in to our account and hit Allow to sync your tasks, mail, and calendar.
- After that, go back to GWSMO and hit the Create Profile button.
- Do not check the “Import data from an existing profile” button. If you are syncing your current Google Tasks to Outlook.
- Go to Microsoft Outlook. Choose the Google Workspace profile.
- Now, your primary Google Task list will appear as a Task folder in Outlook.
These methods are free to use and easily transfer your Google Tasks to Outlook. However, they also have limitations that you must know.
Limitations of the Manual Methods
- In the Calendar option, you are migrating both the tasks and calendar events. Which is not ideal if you only want to move tasks.
- Mostly manual methods provide you with limited editing options. And any changes that you have made in Google Tasks do not reflect in Outlook.
- GWSMO supports Google Tasks, which is limited and may not work in all Outlook versions.
- All the methods are one-way sync, as if you make changes in Outlook. The changes will not update in Google Tasks.
- Sync issues can arise when updating the tasks. Such as an outdated task list, duplicate entries, or missing updates.
- The methods are not completely ideal for organizations to migrate their Google Groups.
From these limitations, the manual methods are perfect for temporary or individual users. But, businesses need a reliable way that can help them manage the Google Tasks in the Outlook or, most importantly Microosft 365. For this, I have an alternative method that you can use.
An Alternative Option to Add Google Tasks to Outlook
In the process of migration, a simple issue with transferring Google Tasks to Outlook can be a hindrance to your job. However, when you want to move your Tasks data with other Google Workspace data. You can use the SysTools G Suite to Office 365 Migration Tool to completely move your Google data include Tasks, into Outlook or Microsoft 365. For organizations, this is a suitable method to move tasks without data loss.
