  • New Outlook (Windows or Mac): Use Group calendar or Power Automate (Method 3 or 4).
  • Outlook on the web: Subscribe using an ICS (iCal) link (Method 2).
  • Modern SharePoint Events: Best to use the Group calendar or Power Automate(Method 3 or 4).

Just like keeping a backup of critical data, syncing the calendar ensures nothing is missed, similar to backup SharePoint Online to local storage. If you’re unsure, start with the Group calendar approach, since it works across all clients, i.e.

#Method 1. Add SharePoint Calendar via Microsoft 365 Group Calendar

A Group calendar works in every Outlook client, including desktop, new Outlook, & web, and can be embedded in SharePoint. When you create a Microsoft 365 Group, it automatically gets a shared calendar stored in Outlook (Exchange Online). To sync SharePoint calendar with Outlook, the instructions are as follows:

Steps to Add a Group Calendar to Outlook

  • Open Outlook (desktop or web), and click the Calendar view.
  • In the left pane, look under Groups.
  • Select the Microsoft 365 Group to use.
  • Click the group name, then select Calendar.
  • The Group calendar opens alongside your personal calendar.
  • In Outlook desktop, use the overlay view to see Group events and personal meetings together.

Steps to Add a Group Calendar to SharePoint

  • Open the SharePoint site.
  • Edit the page where the calendar is to appear.

  • Pick the same group whose calendar you use in Outlook.

  • Open Calendar Settings or List Settings.
  • Under Permissions and Management, select Connect to Outlook or Export Calendar and copy the ICS link.

  • Open Power Automate from Microsoft 365.
  • Click Create > select Automated cloud flow.
  • Set a trigger like When an item is created or modified (SharePoint).
  • Choose your SharePoint site and Calendar list.
  • Add a new step: select Outlook > Create event (V4).
  • Map SharePoint fields, such as Title, Start Time, End Time, Location, Description, to Outlook event fields.
  • Save the flow and test by adding an event in SharePoint.

Now, your new events will automatically appear in the Outlook calendar. You can even use this automation to advanced scenarios, like linking SQL database Power Automate flow to SharePoint calendar.

I know, Power Automate requires setup and time, but once you sync SharePoint calendar with Outlook using it, the calendars stay in sync automatically, which reduces manual work.

That feature isn’t supported anymore. Use ICS or Group calendar instead.
