A Detailed Guide to Executing the Import Process on macOS
Pre-Requisites
Download, install, and launch the SysTools Import Tool for Mac. This is the main "Setup" screen where you begin the configuration by selecting the source and destination platforms.

You can access the built-in "Help" section from the bottom-left corner for detailed explanations of each feature.

First, define the import platforms. For the source, select File System. For the destination, select G Suite.

In the "Workload Selection" area, choose the categories of data you wish to import. You can select Email, Contact, Calendar, or Document individually, or select all of them for a full import.




Here, all workloads are selected for a comprehensive import.

After selecting workloads, click Next. On the "Source" screen, you will see the supported file formats for each data type (e.g., .eml for Email). You must organize your source files in a specific folder structure.

Crucially, your source files must be arranged correctly. Create a parent folder, and inside it, create subfolders named with the exact target G Suite email address. Within each user's folder, create subfolders for each data type (e.g., "Email," "Contact") and place the corresponding files inside, as shown below.

Click the folder icon to browse for and select the parent folder containing your structured data.

Once selected, the path will appear in the "Import Folder Path" field.

Click the Validate button to ensure the application has the necessary read permissions for the selected folder and file types. Upon success, click Next.

On the "Destination" screen, provide your G Suite project credentials. Fill in the Admin Email, Service Account, and upload the Certificate File (.p12).

With the credentials entered, click Validate to authenticate with Google Workspace.

After successful validation, the required destination permissions are shown. Click Next to proceed to user mapping.

On the "Users" screen, add accounts for import. You have two main methods: importing a CSV or fetching users automatically.

Option 1: Import Users (CSV Method)
First, click Download Template to save a sample CSV file. You must populate this file with your source folder names and destination user email addresses.

Once your CSV is ready, click Import Users, select your file, and click "Open".


Click Upload to import the user list from the file.

A success message will confirm the number of users imported from the CSV.

Option 2: Fetch Users (Alternative Method)
Alternatively, click Fetch Users to automatically detect users from the source folder structure you defined in Step 4. Click "Continue" on the confirmation pop-up.

A success message will confirm how many users were found.

After fetching or importing, the users will be listed. Ensure each Source is correctly mapped to a Destination Email.

Select the users you wish to process and click Validate.

A confirmation message will appear after the users are successfully validated. Click "OK".

Before starting the import, you can navigate to the Settings tab to adjust performance options, such as the number of Concurrent users to process simultaneously.

With the users validated, the Start Import button becomes active. Click it to begin.

A final confirmation dialog will show your available license count. Click "Start" to commence the import process.

You will receive a notification that the import has started successfully. Click "OK".

Navigate to the "Import" tab to monitor the live progress. If you need to interrupt the process, you can click the Stop Import button.

A dialog will ask for confirmation. Click "Yes" to stop the import.

A message confirms that the process has been stopped. Click "OK".

The UI will then show the import status as "Stopped" with a red icon.

Once the import finishes, the user will be moved to the "Completed" tab. A green checkmark signifies a successful operation, while a red icon indicates a stopped one.

After completion, you can use the Download Report feature to save logs.

The Import Summary Report provides a single CSV with high-level statistics for all users.

For more detail, select the Detailed Report option. This downloads a ZIP file containing individual CSVs for each data type with item-level status.

You can then extract the archive to view the individual reports.

Each report provides an item-level status for every email, contact, or calendar event.

The tool also provides a Re-Run Import feature for various scenarios.

Retry Failed Items: Re-processes only the items that failed or were stopped.

Re-Run Full Import: Performs the entire import again for the selected users.

Delta Import: Imports only new data that has arrived since the last import, preventing duplicates.
