Know How to Import PST to Exchange Mailbox ?

A step by step guide to show you how to Import PST file data along with all the mails, contact, calendar to the Exchange Server Environment.

 

Application Pre-Requisites


Exchange 2007 & Above
  • Make sure MS Outlook (2016/2013/2010/2007/2003/2002/2000/97) should be installed.
  • Check if you have login as administrator on your machine (where tool is running)?
  • Admin account must be impersonated. Watch Videos How to Apply impersonation in:

  • Make sure MS Outlook (2016/2013/2010/2007/2003/2002/2000/97) should be installed.
  • Check if you have login as administrator on your machine (where tool is running)?
  • Is your machine in the same domain with exchange server?
  • Have you granted FULL access permission to mailboxes? Refer for Exchange 2000/2003.
STEP 1

Run the "SysTools Exchange Import" Software, The user interface of the software will be as follows:

Click on the "Add File" button to select the PST file to be recovered.

On the next menu select the PST file and click on the "Open" button.

STEP 2

The selected file will be added to the software as follows:

Click in the "Next" button:

STEP 3

Now, On the Next Window, Provide the following details:

Enter the Admin login credentials & and enter the Active Directory IP & Exchange Server IP.

You can check the "Include Sub-Domain User's" field if you want to export mailbox of sub-domain users as well.

Entered details will be shown as follows:

After providing all the specific details, You can click on the "Submit" button.

Now, The credentials will be authenticated for the same process:

STEP 4

Now, Provide the mailbox credentials to which the data is to be migrated:

The mailbox would be displayed as follows:

STEP 5

Now, You can Provide the following filters for the import process:

On the "Mails" option. Select the "Apply Filter(s)" radio button and click on the "Set" button.

Now, On the date filter provide the date interval according to which the mails will be exported. Click on "Apply" button.

Click on "Contact" check box and also select the checkbox corresponding to "Exclude Duplicate contacts" checkbox.

Select the duplicate contact fields, Click on the "Apply" button.

On the "Calendar" option, Click on the "Apply filter(s)" radio button. Click on the "Set" button.

Now, provide the date interval according to which the calendars are to be exported. Click on the "Apply" button.

On the "Tasks" option, Click on the "Apply filter(s)" radio button. Click on the "Set" button.

Now, provide the date interval according to which the tasks are to be exported. Click on the "Apply" button.

On the "Journals" option, Click on the "Apply filter(s)" radio button. Click on the "Set" button.

Now, provide the date interval according to which the Tasks are to be exported. Click on the "Apply" button.

You can also select the Check box corresponding to the "Notes" to include notes to the import process.


STEP 6

Once all the settings have been specified:

Now, Mark the Checkbox corresponding to the "Advanced settings" option.

On the next window, Provide the advanced filters for custom folder mapping:

  • Maintain Folder Hierarchy: This refers that the folder hierarchy of the PST file will be maintained after the import process is completed.
  • Map Folder(s): This is the option through which the user can easily map/copy the data to a new folder with custom name specified by the user.

Click on the "Save" button.

The file will be saved successfully:

Click on the "Apply" button.

STEP 7

Now, Back to the previous menu. Click on the "Import" button.

The Export process will be started as follows:

STEP 8

The Export process will be completed successfully.

Click on the "OK" button.

Back to the previous menu, Click on the "Save Report" button.

Navigate and Select the location for the export report.

CLick on the "Save" button.

STEP 9

The Export Report can be viewed as follows

The final files can be viewed in the Outlook Web application as follows:

STEP 1

Run the "SysTools Exchange Import" Software, The user interface of the software will be as follows:

Click on the "Network Files" button to select the PST file to be recovered.

Now, Provide the credentials for the Network and provide the drive to which the file is to be searched, as follows:

Now, The software will search for the files and the files will be listed as follows:

  • You can select the files from the network to add them to the Queue where they can migrated one by one very easily.

Select the specific files, That you want to import to the Exchange server, Click on "Add to Queue" button.

The files will be added successfully.

STEP 2

Navigate and select the file from the network

Click in the "Next" button:

STEP 3

Now, On the Next Window, Provide the following details:

Enter the admin login credentials & and enter the Active Directory IP & Exchange Server IP.

STEP 4

Now, You can Provide the following filters for the import process:

On the "Calendar" option, Click on the "Apply filter(s)" radio button. Click on the "Set" button.

Now, provide the date interval according to which the calendars are to be exported. Click on the "Apply" button.

On the "Tasks" option, Click on the "Apply filter(s)" radio button. Click on the "Set" button.

Now, provide the date interval according to which the tasks are to be exported. Click on the "Apply" button.

On the "Journals" option, Click on the "Apply filter(s)" radio button. Click on the "Set" button.

Now, provide the date interval according to which the Tasks are to be exported. Click on the "Apply" button.

STEP 6

Now, Back to the previous menu. Click on the "Import" button.

The Export process will be completed successfully.
