STEP 1

To launch the software, use the installation directory or open it from the Applications folder in Finder by double-clicking SysTools Hotmail Backup.

Try the demo version to export up to 100 emails at no cost. To unlock full access, click the Activate tab and complete the activation. Activation Steps

STEP 3

Select 'Hotmail' as source and 'PST' as destination format.

On the same screen, choose the specific Hotmail workloads for backup using the Workload section.

If preferred, select just one data type to back up, like Emails.

STEP 5

Apply the Date-Range Filter to choose data from particular dates, and click 'Next' to move forward.

Enter your Hotmail ID in the specified field and press 'Sign In with Hotmail'.

After providing your Email ID, a prompt will appear to click 'Move to Permission Grant Page'.

Next, a window will appear requesting your Hotmail account password.

Once your Email ID and password are entered, the tool will perform automatic credential validation.

STEP 7

Once validated, the required permissions will be assigned to the source user. Click 'Next' to continue.

Please note: Permissions granted will be based on the chosen workload.

Next, open the backup folder and select the location to save the PST file.

Check that the folder path is no longer than 20 characters, then click 'Validate''.

In the dropdown, select the PST file size (default is 40 GB).

This setting determines the maximum size for each PST file.

Example: If you're backing up 11 GB of data and set the PST size to 10 GB, the tool will create two PST files, one for 10 GB and another for the remaining 1 GB. If the data is smaller than the partition size selected (like 11 GB vs. 20 GB), it will only create one PST file. For larger data (e.g., 200 GB with a 40 GB partition size), the tool will split it into five separate 40 GB PST files.

Once you've verified the permissions, click 'Next' to move forward..

On the Users screen, choose 'Fetch Workload Folders' to retrieve the source content, such as emails.

STEP 11

After validation, click the 'Start Backup' button in the ribbon bar to begin the backup.

You will see the backup status as shown below.

After the backup completes, click 'Download Report' to save the summary.

Summary Report – Use this option to download one report that includes backup details for all user accounts, emails, contacts, calendars, and documents.

Detailed Report – Use this option to download individual backup reports for all or selected G Suite users.
