Know How the Tool Processes to Backup O365 Mailbox in different file formats and Restores PST file.

Application Pre-Requisites

  • Admin account of Office 365 must have Office 365 license assigned, you must be able to access OWA for admin.

Steps to Backup Office 365 Mailbox

A step wise guide to showcase how you can take backup of Office 365 Mailbox items and save as Outlook PST or EML in your local machine

STEP 1

Run Office 365 Backup

Start >> All Programs >> SysTools Office365 Backup >> SysTools Office365 Backup and Click on Login button for login into Office 365 Account.

Enter Login Credentials

Enter Office 365 Username & Password and click on Sign In.

Select Office 365 Backup

Select Office 365 Backup to take backup of mailbox items on your machine.

Select Mailbox Items

Select Mailbox items which you want to backup from Office 365 account.

Browse Location for Backup

Select a location on your machine where you want to backup mailbox data items and click on OK button.

Export Items

After selecting location click on Export Button. Select which ever file format you want to select and apply date filter if you want. In this example I am selecting PST file format to backup and applied Date filter. As you can see in displayed image. Now click on Start button to backup.

Downloading Mailbox Items

Now, you will see a new window in which the Office 365 User ID, Folder Path & Status of backup is displayed.

Backup Process Completion

It will take some time to download mailbox items. After successful backup the message will be displayed as shown in figure. Just click on OK button.

Backup PST file

Now go to the selected backup location to view backup (.pst) file.

Start >> All Programs >> SysTools Office365 Backup >> SysTools Office365 Backup and Click on Login button for login into Office 365 Account.

Enter Office 365 Username & Password. Select Application Impersonation and click on Sign In.

Select Office 365 Backup

Select Office 365 Backup to take backup of mailbox items on your machine.

Browse CSV file containing email id of all users. Select one or more users whose mailbox need to be downloaded.

Browse Location for Backup

Select a location on your machine where you want to backup users' mailbox data items and click on OK button.

Click on Export button. A new window will appear, follow on screen instruction as shown in below image.

Now, you will look a new window in which the Office 365 User ID, Folder Path & Status of backup is displayed.

Backup Process Completion

It will take some time to download mailbox items. After successful backup the message will be displayed as shown in figure. Just click on OK button.

Backup PST file

Now go to the selected backup location to view backup (.pst) file.

Steps to Restore Office 365 Mailbox

A step wise guide to showcase how you can restore your Office 365 Mailbox items and save as Outlook PST or EML in your local machine

STEP 1

Launch the Office 365 Restore tool and click on Login.

Start >> All Programs >> SysTools Office365 Restore >> SysTools Office365 Restore and Click on Login button for login into Office 365 Account.

Enter Login Credentials

Enter Office 365 Username & Password. Then click on Sign In.

Select Office 365 Restore

Select Office 365 Restore to read data from PST & store it to Office 365 account.

Browse PST File

click on Browse button to add the PST file. Select the PST file which you need to restore and click on Open button

Select the data folders thet you need to restore from PST file and click Restore button.

A new window will appear with advanced options such as select category, folder hierarchy, and date filter.

Now, click on Start button

Restore Process Status

It will take some time to restore mailbox items. In the below screen, you can see completed & pending status of the process.

Once restore process is completed, the message will be displayed. Just click on OK button.
