Import PST to G Suite - Mac Software Guide

A Detailed Guide to Executing the Import Process on macOS


        Pre-Requisites

  • macOS 10.8 or later.
  • A Google Console Project must be created with the required APIs enabled and Scopes added. Read more...


Following are the Steps to Import PST to G Suite on Mac

STEP 1

Download, install, and launch the SysTools Import Tool for Mac. This is the main "Setup" screen where you begin the configuration. You can also access the "Help" section from the bottom-left corner for more information.

STEP 2

First, define the import sources. For the source, select Outlook. For the destination, select G Suite.

STEP 3

In the "Workload Selection" area, choose the categories of data you wish to import. You can select Email, Contact, or Calendar individually, or select all of them for a full import.

For more granular control, you can apply a Date Filter to any workload. This allows you to import only the data that falls within a specific time frame.

STEP 4

After configuring the workloads, click Next. On the "Source" screen, you must specify the folder path containing your PST files. Click the folder icon to browse.

Crucially, your PST files must be arranged in a specific folder structure. Create a parent folder, and inside it, create subfolders named with the exact target G Suite email address. Place each user's PST files inside their respective folder, as shown below.

In the file dialog, navigate to and select the parent folder (e.g., "PST") and click "Open".

STEP 5

Once the folder path is populated, click the Validate button to ensure the application has the necessary read permissions.

Upon successful validation, the tool will display the confirmed permissions. Click Next.

STEP 6

On the "Destination" screen, you need to provide your G Suite project credentials. Fill in the Admin Email, Service Account, and upload the Certificate File (.p12).

With the credentials entered, click Validate to authenticate with Google Workspace.

STEP 7

After successful validation, the required destination permissions are shown. Click Next to proceed to user mapping.

STEP 8

On the "Users" screen, you can add accounts for import. You have three options:

  • Fetch Users: Automatically detects users from the source folder structure.
  • Import Users: Allows you to upload a CSV file with user mappings.
  • Download Template: Provides a sample CSV file to ensure correct formatting.

If you choose to import users via CSV, you can first download the template and populate it.

Then use the "Import Users" option to upload the file.

You may use the Fetch users options to bring in the user list directly. Click on Fetch Users, then press the Continue button on the confirmation page.

After the Fetching operation completes you will be shown the total count of users that were found. Click OK to close this dialog box.

STEP 9

After fetching or importing, the users will be listed. Ensure each Source Email is correctly mapped to a Destination Email. Select the users you wish to process and click Validate.

A confirmation message will appear after the users are successfully validated. Click "OK".

STEP 10

Before you Start Import we suggest you adjust the concurrent slider present inside the settings page.

With the users validated, the Start Import button becomes active. Click it to begin.

A final confirmation dialog will show your available license count. Click "Start" to commence the import process.

You will receive a notification that the import has started successfully.

STEP 11

Navigate to the "Import" tab to monitor the live progress. If you need to interrupt the process, you can click the Stop Import button.

A dialog will ask for confirmation. Click "Yes" to stop the import.

The UI will then show the import status as "Stopped" with a red icon.

STEP 12

Once the import finishes, the user will be moved to the "Completed" tab. A green checkmark signifies a successful operation.

STEP 13

After completion, you can use the Download Report feature to save logs.

The Import Summary Report provides a single CSV with high-level statistics for all users.

The Detailed Report downloads a ZIP file containing individual CSVs for each data type (email, contacts, calendar) with item-level status, which can be extracted using the Archive Utility.

STEP 14

The tool also provides a Re-Run Import feature for various scenarios.

Retry Failed Items: Re-processes only the items that failed or were stopped.

Re-Run Full Import: Performs the entire import again for the selected users.

Delta Import: Imports only new data that has arrived since the last import, preventing duplicates.

STEP 15

Finally, log in to the destination Google Workspace account to verify that your data has been imported successfully.
