Step-by-Step Guide on How to Split Large PST Files into Smaller Parts using the Split PST Software

STEP 1

Go to the start menu click on All Programs » SysTools Split PST.

Firstly, add PST file into the software to break it. For this, tool provides you several options i.e. Add File(s), Add Folder, and Search Files. Click any option as per your need.

To add PST file into the software, click on Add File(s) button. Then, select PST file from your system and hit Open button.

Users can also add any folder containing PST file into the software. For this, click on Add Folder button. Then, select folder from your system and hit OK button.

If user did not know the location path of PST file, then it can be search directly by using Search Files option.

STEP 3

All browsed PST files will be listed in software panel. Here user can verify the browsed PST files and remove unwanted file by Remove or Remove All button.

Now, click on Browse button and choose destination forlder to save resultant files.

After providing the Destinaion Path, cick on Next button to proceed further.

Now, software will give you multiple options to split PST file in six unique ways such as:

STEP 7

The Split PST Tool lets you split a PST file by size. You can choose the size in MB, GB, or TB. It supports splitting files from 1 MB up to 1 TB.

Select the Split by Size option and enter the size you want for each split file. For example, if you choose 10 MB, the large PST file will be divided into multiple 10 MB parts. Then click Next.

The software will show a summary of the process. You can also set a password to protect the output PST files. After that, click the Split button to start.

The live splitting process will appear on the screen. You can click the Stop button anytime to pause or stop the process.

Once the PST splitting is completed, a notification message will appear. Click OK to confirm.

After this, software will display the Destination Path.

Click on Destination path to directly access the resultant files saved at provided destination location.

STEP 7

This software allows you to split a PST file by date using the Split by Date option.

After selecting Split by Date, you will see two options:

  1. Select Date: Choose a specific date range. The software will split the PST into two parts:
    • Data within the selected date range will go into the first PST file.
    • The remaining data will go into the second PST file.
  2. Select Date Range: This option is used to extract specific data. You can add multiple From and To date ranges. The software will create separate PST files for each date range.

For example, if you select 5 date ranges, it will generate 5 separate PST files.

The split summary will appear on the screen. You can also set a password to protect all output PST files. And, click the Split button to start the process.

The live splitting process will appear on the screen. You can click the Stop button anytime to pause or stop the process.

Once the PST splitting is completed, a notification message will appear. Click OK to confirm.

After this, software will display the Destination Path.

Click on Destination path to directly access the resultant files saved at provided destination location.

Choose the Split by Year option to divide PST data year-wise.

After selecting this option, enter the From year and To year range. The software will create a separate PST file for each year in the selected period.

For example, if you select From 2020 to 2025, the tool will create 5 separate PST files (one for each year).

Then, click Next button and proceed.

Now, software will show you the summary of Split Information. Hit Split to start the process to split PST.

Once, the user have clicked on the Split button, tool will start the process to split PST by year. Here, user can click on Stop button to stop the splitting process in between. Or, user can directly go to the homepage of software by a click on Home butoon.

After completing the proces to split PST, a notifiation prompt will appear as follows.

Split PST Tool facilitiates to split PST by folder, for this click Split by Folder radio button.

Choose “Create separate PST file for each selected folder(s)” to export every selected folder into seperate PST file.

Select “Create single PST file for all selected folder(s)” to export all folders into one PST file. You can also apply the split by size option if needed.

After applying all split value, hit Next button.

The Split by Email ID option allows you to export data only from selected email addresses.

Add the email addresses whose data you want to extract. You can choose the email fields such as From, To, CC, and BCC. If the added email IDs appear in these fields, the software will automatically export the related data into a single PST file.

You can use the Fetch button to automatically load all available email addresses in PST for selection. You also have the Add CSV option to import a CSV file that already contains the email addresses you want to extract.

Now software will start search all email ids. User can stop this porcess by hiting Stop button as well.

Software will list all email ids and user can select required email ids. After this select Email Option From, To, CC, BCC.

After all these settings and hit Next button.

Split PST Tool provides facility to split PST by category. Select Split by Category radio button.

The Split PST Tool allows you to split PST files by categories such as Mail, Calendar, Contacts, Notes, Tasks, and Journal. You can select one or multiple categories, and the tool will create separate PST files for each selected category.

The Exclude Folders option lets you skip data from Deleted Items and Junk Email folders, so these folders are not included in the split process.

The PST Splitter by SysTools lets you split and extract emails from specific senders using the Split by Sender option.
