To perform this, you can use Outlook desktop and Outlook Web App. Below are the steps that you must follow.
- Go to your Outlook and click on the Contacts or People tab.
- Select the Distribution List and open it.
- Click on the File option and then the Save As button. Choose TXT as the saving file type.
- Name the file and save it. Open this file in your Excel application.
- Delete the first 4 rows: “Distribution List Name”, “Members”, and empty rows.
- Insert the headers in the first row according to the other rows, like Name, Email address, etc.
- Save this file as CSV. Now, I am going to import this CSV file into Google Contacts.
- Lastly, create the distribution list in Gmail.
In Outlook for web, follow the same steps, export the distribution contact list as CSV, and import it to Gmail. If you are using Microsoft 365, then below are the steps that you must follow.
Export Outlook 365 Distribution List to Gmail with EAC
- Sign in to the Microsoft 365 admin center with an admin account and go to the Exchange Admin Center under Admin Centers.
- Click on the Recipients and then the Groups option. Then, the Distribution List button.
- Select your distribution group that you want to export. Click on the Menu button and select the Export option.
- Hit the Export Group Members. By pressing the Continue option, create and download the CSV file that contains the distribution list members.
- Open the saved CSV file in a spreadsheet, add the columns First Name, Last Name, Email Address, and so on.
- Adjust your information according to the format and save the file.
- Now, you can move the file to Gmail to create the distribution list.
There is another way to move your distribution list from Microsoft to a Google account. Many IT admins or professionals use this method to migrate their data.
