Forward Google Workspace Email As Individual User

Users can set the email forwarding by themselves using Gmail. Using this method, you can redirect new incoming emails to another user.

  1. First access to your Gmail using a G Suite account.
  2. Go to the Settings and select Forwarding and the POP/IMAP tab.
  3. In the Forwarding section, click on Add a forwarding address.
  4. Provide the destination email address.
  5. Verify the email address that you have given.
  6. After that, go back to Gmail settings and refresh the page.
  7. Again, select Forwarding and POP/IMAP, then Forward a copy of incoming mail to.
  8. Choose the email address that you have just verified. Then, click on the Save Changes button.

Redirect Google Workspace Email with Recipient Access Mapping

In the Google Workspace, the administrator can set the redirection on the incoming emails from one user to another user without the need for users’ login credentials. You need proper admin credentials.

  1. In the Google Admin Console, go to the Menu option.
  2. Select the Apps and then the Google Workspace button.
  3. Click on Gmail. Then, the Routing option.
  4. From the left panel, choose the top-level Organizational Unit.
  5. Navigate to the Email forwarding using the recipient address map.
  6. Click on Configure or Add Another Rule. After that, provide the descriptive name for the address map.
  7. In the Add setting box, press the Add button. Enter original recipient email address.
  8. Provide the email address you want to forward the emails to.
  9. To add more mappings, you can either repeat the above step or choose all incoming messages and only external incoming messages from the message to affection section.
  10. Select the Also route to original destination option. Then, click Add X-Gm-Original-To header.
  11. Lastly, click on the Save button. This way your new address map appear aon the Routing page.

Set Up G Suite Emails Forwarding with Default Routing Option

Many companies use this method to set up how incoming mail will be delivered. From this, you can use it for dual delivery or catch-all addresses for misaddressed emails.

  1. Log in to Google Admin Console. Then, click the Menu and Apps icon.
  2. Select the Google Workspace >> Gmail and then the Default Routing option.
  3. Choose Configure or Add another rule. Then, select these options.
    • To specify envelope recipients to match, select any one option: single recipient, pattern match, Group membership, or all recipients.
    • If the envelope recipient matches, then choose modify messages or reject message.
    • If you choose Modify message, select the following options to specify how messages are modified.
      • Add X-Gm-Original-To header
      • Add X-Gm-Spam and X-GM-Phishy headers.
      • Add custom headers
      • Prepend custom subject
      • Change the route
      • Change envelope recipient
      • Bypass the spam filter for this message
      • Remove attachments from the message
      • Add more recipients
    • Then, choose either perform this action only on non-recognized addresses or perform this action on non-recognized and recognized addresses to specify what this setting affects in email addresses.
  4. Click on the Save button. To save all the changes.

Google Workspace Email Forwarding Rules & Restrictions

With the help of these methods, you can easily set up Google Workspace email forwarding. However, while using email forwarding, you must know about the rules and restrictions.

  • First, you must properly verify the destination email address.
  • For the security of your data, the admin can disable the automatic forwarding outside of the organization.
  • You cannot forward emails that are marked as spam.
  • Individual users are only allowed one primary email address for forwarding. To set multiple email IDs, you need an admin account.
  • Any suspicious email forwarding found in your account, Google temporarily pauses the forwarding.

These rules or restrictions are designed to prevent data loss, protect the business’s sensitive information, and stop unauthorized access. While the manual methods can easily set up email forwarding.
