Follow this complete guide to migrate your Public Folders step by step.
Pre-Requisites
PublicFolder Mailbox Creation
A Mailbox Creation must be complete before you can create folders in the Public Folder mailbox. Please follow Mailbox Creation Steps to create Mailbox.
Note: Before starting the migration please make sure about the destination domain name(e.g., @domain.com, @domain.onmicrosoft.com, or hosted domains), as this cannot be changed later, because the software licenses will be consumed and these cannot be revoked afterwards.
Download and Launch the SysTools Migrator. In case, tool is not activated, see how to activate the product: Activation Steps
Tool provides the help section for the details about each migration mode. Click on "Help" button to view this section.
In the "Setup" screen, select "Microsoft 365" as the source platform and "Microsoft 365" as the destination platform for the migration.
Under "Resource & Workload selection," check the "Public Folders" option to allow public folder workload migration, and also select "Public Folder Email" to include emails in the migration.
Select the "Groups" workload, including "Group Creation" and "Group member mapping." Then, for the "Public Folders" workload, enable the "Migrate public Folder permissions" toggle to allow folder-level permission execution.
To migrate data within a specific date range, check the "Date Filter" box and select a "From Date" from the calendar pop-up.
After selecting the "To Date" to complete the date range for the filter, click the "Next" button to proceed to the next step.
On the "Source" screen, enter the Admin Email and Application ID for the source Microsoft 365 account.
After entering the source account credentials, click the "Validate" button to verify the permissions.
Once the permissions are successfully validated, click the "Next" button to continue.
Navigate to the "Destination" screen and enter the Admin Email and Application ID for the destination Microsoft 365 account.
After entering the destination account credentials, click the "Validate" button to verify the necessary permissions.
Once the destination account permissions are validated, click the "Next" button to move to the resource mapping stage.
Navigate to the "Resources" tab and select "Users." To add users for migration via a CSV file, start by clicking the "Download Template" button to get the correct file format.
Choose a location on your computer to save the user mapping CSV template and click "Save."
Locate the downloaded CSV template file on your computer and open it to add your user data.
Edit the CSV file by entering the source and destination user email addresses. Set "MarkForExecution" to "TRUE" for users you want to migrate and then save the file.
After preparing the user mapping CSV file, return to the migrator tool and click the "Import Users" button.
In the "Import Users" window, click on the upload icon to browse for the user list CSV file you prepared.
Select the completed user mapping CSV file from your computer and click "Open."
With the correct file selected, click the "Upload" button to import the user list into the tool.
Once the processing is complete and the confirmation message appears, click "OK."
Alternatively, to automatically retrieve users from the source account, click the "Fetch Users" button.
Review the information in the "Fetch Users" dialog and click "Continue" to proceed.
After the tool has finished fetching the users from the source, click "OK" on the confirmation dialog.
After fetching or importing users, review the list of source and destination emails in the "Users" tab.
If any destination users do not exist, you can select them from the list and click "Create User" to create them in the destination domain.
Select the users you wish to migrate and click the "Validate" button to confirm their status and permissions on both source and destination.
After the validation process is complete, click "OK" on the confirmation message.
Navigate to the "Groups" tab within "Resources" to begin the group mapping process. To map groups using a CSV file, click the "Download Template" button to obtain the required format.
Select a destination on your PC to save the group mapping CSV template and click the "Save" button.
Find the downloaded "GroupMappingSample.csv" file on your computer and open it with a spreadsheet editor.
Populate the spreadsheet with the source and destination group email IDs. Ensure "MarkForExecution" is set to "TRUE" for the groups you wish to migrate, then save the file.
Return to the migration tool and click the "Import Groups" button to upload your prepared CSV file.
In the "Import Groups" window, click the upload icon to select the group list CSV file from your computer.
Locate and select your saved "GroupMappingSample.csv" file and click "Open."
Confirm the correct file is selected in the dialog box and click "Upload."
Click "OK" on the confirmation pop-up after the groups have been successfully imported. Complete Group validation like you did for User Workload.
As an alternative to importing, click "Fetch Groups" to have the tool automatically discover groups from the configured source account.
Read the instructions in the "Fetch Groups" pop-up and click "Continue" to initiate the process.
Once the group fetching process is complete, click "OK" to close the confirmation window.
Select the "Public Folders" tab under "Resources." To map public folders using a CSV file, start by clicking "Download Template" to get the correctly formatted file.
Choose a location on your computer for the "PublicFolderMappingSample.csv" file and click "Save."
Navigate to the location where you saved the template and open the "PublicFolderMappingSample.csv" file.
In the spreadsheet, enter the source and destination folder paths. Set "MarkForExecution" to "TRUE" for all folders you intend to migrate, and then save your changes.
After preparing the CSV file with your public folder mappings, click the "Import Folders" button in the migrator.
In the "Import Public Folders" window, click the upload icon to browse for your prepared CSV file.
Select the "PublicFolderMappingSample.csv" file that contains your folder mappings and click "Open."
With the file path shown in the text box, click the "Upload" button to proceed.
After the import is successful, click "OK" on the confirmation message.
Alternatively, click "Fetch Folders" to automatically populate the list with public folders from the source account.
Review the information in the "Fetch Public Folders" pop-up and click "Continue" to begin fetching.
Once the tool has finished fetching the public folders, click "OK" to dismiss the dialog.
Public Folder Permission Migration Condition
Navigate to the "Public Folders" tab to view the list of all source folders. Select the public folders that need to be created at the destination, and then click the "Create Folder" button.
In the "Public Folders Creation" window, you must specify the name for the destination public folder.
After entering the desired name for the destination public folder, click the "Continue" button.
A confirmation dialog will appear. Click "Start" to begin the folder creation process on the destination account.
Once the folder creation is complete, click "OK" on the success notification.
You can now close the "Public Folders Creation" window by clicking the "Close" button.
Select the public folders you are ready to migrate and click the "Validate" button to ensure the source and destination resources are accessible.
After successful validation, click "OK" to dismiss the confirmation dialog.
Once your public folders are validated, select them and click the "Start Migration" button to begin the process.
Review the license information presented in the pop-up window and click "Start" to confirm and initiate the migration.
A confirmation will appear indicating the migration has begun. Click "OK" to close the message.
To see which items are queued for migration, visit the "Status" tab and select the "Pending" filter.
To monitor ongoing migrations, go to the "Status" tab and view the items under the "In Progress" filter.
To view the status of migrations that have finished, navigate to the "Status" tab and click on the "Completed" filter.
If you need to halt an ongoing migration, navigate to the "Status" tab and click the "Stop Migration" button.
Confirm that you wish to stop the migration by clicking "Yes" in the confirmation dialog.
After the migration has been stopped, click "OK" on the confirmation message.
After stopping a migration, you can view its status in the "Completed" tab, where it will be marked with a "Stopped" icon.
For completed or failed migrations, you can click the "Re-Run Migration" dropdown. To specifically re-run the migration only for items that failed in the previous attempt, select "Retry Failed Items."
To re-migrate all items in the batch, regardless of their previous status, select the "Re-Run Full Migration" option.
In the "Re-Run Full Migration" window, select the folders you wish to migrate again and click "Start."
To migrate only new data that has arrived since the last migration, choose the "Delta Migration" option.
In the "Delta Migration" window, select the folders for which you want to run a delta sync and click "Start."
After a migration is complete, click on the "Download Report" dropdown. Select "Migration Summary Report" from the dropdown to download a high-level overview of the migration task.
Choose a location on your computer to save the Migration Summary Report and click "Save."
Review the summary report, which provides key details for each migrated item, including source and destination paths, final status, and size.
For a more granular view, select "Detailed Report" from the "Download Report" dropdown menu.
In the "Download Reports" window, ensure the desired folders are checked and click the "Download" button.
Select a location on your computer to save the detailed report ZIP archive and click "Save."
After downloading, locate the ZIP file, extract its contents, and open the CSV file to review the detailed report, which includes specific information for every item.
Navigate to "Settings" > "General" to configure application performance, such as enabling multiple accounts or adjusting the number of concurrent users, then click "Save."
Go to the "SMTP" tab in "Settings" to enable and configure email notifications by providing your SMTP server details, then click "Save."
In the "Notifications" tab under "Settings," customize the email template for migration notifications and click "Save" to apply the changes.
This completes the process of migrating public folders and configuring the tool's settings for optimal performance and reporting.
