Before going through the procedures, proper preparation is needed to smoothly migrate your mailbox.

  • The first step is to check what you need to migrate. Here, review the total Gmail mailbox size, number of users, labels, and folder structure, attached Google Drive files, and the third-party apps that are connected to Gmail.
  • Make sure the inbox is clean and clutter-free. Remove any unnecessary, unwanted, or deleted emails. Also, clear the trash folder.

Migrate Data from Personal Gmail Account to Office 365

If you want to transfer your personal Gmail emails to your professional Microsoft 365 account. Use the Outlook application to move your data. Here are the steps.

  1. First, enable the IMAP setting in your Gmail account.
  2. After that, open the Outlook desktop application. Click on the File button.
  3. Select the Account Settings, then click on the New Account option.
  4. Enter the Gmail account credentials and configure your account.
  5. Now, export the emails by going to the File option.
  6. Click on the Open & Export and then Import/Export option.
  7. Choose the PST format and select the folder where your connected Gmail account emails are stored.
  8. Then, export the file to your desired location.
  9. In the Outlook software, connect the Office 365 account and import the exported file into the connected Microsoft 365 account.

This method is for those who want to transfer their personal Gmail emails to Office 365. However, mostly professional users use Google Workspace Gmail, and moving their emails into Office 365 requires different options.

Manually Transfer Professional Gmail Account to Microsoft 365

This method is lengthy because I have to first verify the domain in Office 365, add the user accounts, and much more. I am going to explain the method in proper phases and carefully follow them.

Phase 1: Verify the Domain of Your Office 365

To migrate email from Gmail to an Office 365 account, users need to verify the domain. That is, you need to verify that the domain used for the Gmail account is owned by you. You can perform it through these steps.

  1. Go to the Admin center.
  2. Click on Go to setup.
  3. Select the Domain.
  4. Add users.
  5. Set up DNS.

Phase 2: Create a User Mailbox and Assign the License

Before creating the user mailbox, you must ensure that you have an appropriate license for the users. Follow the given process to create a user mailbox for the Gmail to Office 365 email migration process.

  1. Go to the Admin center > Click Users > Select Active users > Click on More.
  2. For adding a single user, select the ” Add user option, and for adding multiple users together, select Import Multiple Users. Through the CSV file, you can import the information of multiple users altogether and create the mailboxes.
  3. Once you upload the file click verify the data through the Verify button.
  4. After verification, select and assign an appropriate license to the user or select the option Create user without product license.

Phase 3: Establish a Communication Channel Between Gmail and Office 365

For the successful migration of data, you need to establish a communication channel between Office 365 and Gmail. Follow the steps.

  1. Go to Exchange admin center > Recipients > Migration > Migration endpoints.
  2. Click “+” and on the new page select IMAP.
  3. Enter the IMAP Server & Settings on the IMAP migration configuration page.
  4. At last, provide a migration endpoint name in the Enter general information page.

Phase 4: List the Gmail User Mailbox for Migration Batch Creation

We need to create a list of user mailboxes that we need to move from Gmail to Office 365 accounts. To create the migration file, you must know the passwords of all the Gmail user accounts. The temporary password can be assigned for migration, but only the administrator can change the password of the user account.

  1. Sign in to the Google Admin Console.
  2. Go to Users and select the list of users from the admin center.
  3. Collect and write down the email addresses of users’ mailboxes to which you need to migrate.
  4. Create the Excel sheet using the collected addresses and users’ passwords and save it as CSV.

Phase 5: Create the Migration Batch for Gmail to Office 365 Migration

To migrate Gmail to Office 365, you must create a migration batch with Gmail mailboxes.

  1. Go to the Admin center and select Exchange.
  2. Navigate to Recipient > Migration.
  3. Click on “+” and choose Migrate to Exchange Online.
  4. Select IMAP migration. Click Next and browse the CSV file on the Select the user’s screen.
  5. Gmail shows the mailboxes after the validation is completed.
  6. Select the previously created migration point. Set the migration point.
  7. Continue with the default values in the IMAP migration configuration window.
  8. Go to the Move Configuration page and provide the migration batch name
    On the Start, the batch page provides the required options and starts Gmail to Office 365 email migration.

Phase 6: Update DNS Record

Email systems use DNS records to find the exact destination of email delivery. This MX record will be pointed to the Gmail account, so you need to change it to Office 365 for migration. So the email will be delivered to the Office 365 account.

  1. Go to Admin center > Settings.
  2. Click on Domain and select Domain name.
  3. Finally, the notification shows “Setup completed“.

Limitations of Manual Migration

Although manual migration is free, it has several restrictions and drawbacks. Below, I have provided common issues you may encounter.

  • If you are using the IMAP option to transfer Gmail emails to Office 365. However, this method cannot transfer Google Drive attachments or Gmail label metadata.
  • Office 365 uses folders, whereas Gmail uses labels to organize emails. While you are transferring, sometimes there is confusion between the mailbox structure: labels are not properly converted, some emails may appear in multiple folders, and the folder hierarchy may break.
  • The native process of migration is lengthy and complex, where you need multiple administrative configurations, like Domain verification, DNS configuration, etc.
  • If you are moving large mailboxes, the process can be slow and take several days to weeks.
  • Common risks of manually migrating are data loss, incomplete migrations, and corrupted mailbox structures.
  • These methods do not support transferring a selective mailbox, which leads to unnecessary data being moved.
