Method 1: Export Gmail to PST Using IMAP and Outlook

This is the free and manual path, recommended for users who have Microsoft Outlook installed. The process is divided into three stages.

Building a bridge between Gmail and Outlook.
Letting them sync.
Exporting what Outlook received into a PST file.

IMAP is that bridge. We can think of it like a post office that forwards every Gmail message into Outlook’s inbox in real time. Once this process is completed, Outlook holds a local copy of everything. Once this is done, exporting to PST is just a few clicks.

Works on: Windows 10 and 11, macOS Ventura and above, Outlook 2016, 2019, 2021, and Microsoft 365.

Step 1 – Enable IMAP in Gmail

Click on Forwarding and POP/IMAP.
In IMAP Access, select Enable IMAP.
Click Save Changes.

Users will see additional configuration options below the enable toggle. Leave every setting as default. No changes are needed; click Save Changes and move to Step 2.

Step 2 – Adding Gmail to Outlook

Open the Outlook app and select Add Account.
Enter your Gmail credentials and click continue.

When the sign-in window appears, log in and approve access.
Click Done, and Outlook will start syncing Gmail folders.

Note: Large mailboxes can take 24 hours to fully sync. Keep Outlook open and connected during this time.

Step 3 – Export to PST

Before we initiate this step, check which version of Outlook you have. There are two versions, and they both behave differently for PST export.

Classic Outlook (2016 / 2019 / 2021): Export works freely with no subscription required. This is the version shown in the steps below.
New Outlook (Windows 11 default / Microsoft 365 new interface): PST export is locked behind the paid Microsoft 365 subscription. If you click Files, Open and Export, the screen will show that you need a Microsoft 365 subscription.

If you are seeing this, you are on New Outlook, and PST export requires a paid subscription here. You have two options:

Buy a Microsoft 365 subscription to unlock the feature in New Outlook.
Skip to Method 3 below. It does not need an Outlook subscription and exports Gmail directly to PST.

If you are on Classic Outlook, continue here:

In Outlook, go to File and click Open and Export.
Click on Import and Export, and in the pop-up screen select Export to a File.
Choose Outlook Data File (.pst) and click Next.

Select the Gmail account and the specific folder you want to export.
Select your saving location and click Finish.

Once this process is completed, your PST will be saved locally. You can open it in Outlook anytime.

Where This Method is Ineffective

This IMAP route works well for small mailboxes. It has real limitations that are painful.

Sync takes time for giant datasets, and once the internet goes down, it means starting over.
No date range filtration: you have to export everything or nothing.
No incremental backup: every new backup re-exports all emails from scratch.
Outlook required: an Outlook installation is mandatory for export.
Inboxes with heavy attachments can fail during the sync.

If these limitations apply to your situation, Route No. 3 is your preferred road.

Method 2: Steps to Export Gmail to PST via Google Takeout (MBOX Conversion Required)

Google Takeout which is Google’s own export tool, and it is an only built-in way to get your Gmail data exported in bulk. The issue is it does not export directly to PST. It will provide you output in MBOX format. If your end goal is Outlook, you will need one extra conversion step after this which is covered at the end of this section. Let us check its process..

Step 1: Open Google Takeout – Sign in to your Google Account and go to takeout.google.com.
Step 2: Select Only Mail – Click Deselect all at the top to clear every product. Scroll down and select Mail only.
Step 3: Filter by Label (Optional): Click All Mail data included if you only want specific folders or labels exported.

Uncheck anything you don’t need, or leave the default to export everything.

Step 4: Click Next step and select delivery method.
Step 5: Choose delivery method. Send download link via email is simplest. Select export type (.zip which is most widely compatible) and file size and most commonly selected file size is 2GB. Google will automatically creates pack of 2 GB each of your data.

Step 6: Choose frequency, select Export once for a single backup.
Step 7: Hit Create export: Once your export is ready you will get email with a download link.

Google Takeout Export Process

Step 8: Once you receive an email download and unzip file.

Note: Large mailboxes may export as multiple .zip parts. Download and extract all of them as your MBOX data will be split across them.

How to Open Your PST File in Outlook After Export

Now your PST file is ready. Opening it in Outlook takes less than a minute.

Open Outlook.
Go to File, Open & Export, Open Outlook Data File.
Browse to the folder where your PST file was saved.
Click Open.

Outlook will load the file immediately. All your Gmail emails will appear in the left sidebar as a separate folder, exactly as they looked when they were in Gmail.
